Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or at the time of vehicle collection. This agreement outlines the specific terms, conditions, insurance information, fees, and your responsibilities related to the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Rental Vehicle Requirements
- To hire a vehicle from Newmains, you must be at least 21 years old, although requirements may vary based on the vehicle type, with extra fees applicable for drivers under 25. You need a valid driving licence suitable for the vehicle category, held for the duration outlined in the Rental Agreement. Valid identification and proof of your current address are necessary, along with payment details and a security deposit. Additional criteria may be specified in the Rental Agreement.
Booking and Payments
- Reservations can be made via our website, over the phone, or directly at our Newmains office. A deposit may be necessary to confirm your booking. The remaining balance and a security deposit are generally required upon vehicle pickup. All pricing is displayed in British Pounds (£) and includes VAT where applicable. We accept major credit and debit cards, with secure processing through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of collection, it is necessary to conduct a thorough inspection of the vehicle and report any pre-existing damage without delay. A vehicle condition report will be filled out and signed to document this assessment. It is important to return the vehicle in the same condition as received, with allowances made for normal wear and tear. Any new damage will be evaluated and charged accordingly. The vehicle should be returned with the same fuel level as at collection; refueling fees will be applied if the fuel level is lower. Late returns may result in additional charges, so please contact us as soon as possible if you expect to return the vehicle late. You will be liable for any parking fines, traffic violations, or charges incurred during your rental period, along with an administration fee.
Insurance and Responsibility
- All rentals come with basic third-party insurance included. Comprehensive coverage information and excess amounts can be found in your Rental Agreement. Optional insurance plans may be offered to lower your financial responsibility. It is advisable to examine these options thoroughly. You will be liable for any damage or loss up to the insurance excess, unless additional insurance is purchased. Responsibility for damage resulting from negligence, misuse, or violation of these Terms remains with you, irrespective of insurance coverage.
Cancellation and Modifications
Cancellation and amendment policies differ depending on the type of booking and the notice provided. For precise information, please consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows may incur additional charges.
Prohibited Activities
Prohibited Uses of the Vehicle
- The vehicle must not be used for any illegal activities or purposes. This includes racing, rallying, off-roading, or engaging in other dangerous behaviors. Transporting hazardous materials, sub-letting the vehicle, or allowing unauthorized drivers is prohibited. Operating the vehicle under the influence of alcohol or drugs is strictly forbidden. Additionally, it should not be used for purposes outside its intended design, exceeding passenger or weight limits, or driven beyond the agreed geographical boundaries without proper authorization.
Breach of these terms can lead to rental cancellation and extra fees.
Liability Limitations
To the fullest extent allowed by English and Welsh law, Newmains Car Hire disclaims liability for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business related to your use of our services. Our total liability for any claims will not exceed the rental amount paid in the prior 12 months. This limitation does not affect our liability for death or personal injury due to negligence or for fraudulent actions.

These Terms are regulated by the laws of England and Wales, with disputes falling under the exclusive jurisdiction of their courts.
Updates to Terms
We reserve the right to update these Terms at any time. Changes take effect as soon as they are posted on our website. Continued use of our services indicates your acceptance of the revised Terms.
